TERMS & CONDITIONS
1. Booking Confirmation
- A booking is considered confirmed only after receipt of the required advance payment and written confirmation from Iconique Tours.
- The company reserves the right to decline any booking at its discretion (before confirmation).
- In addition to the terms and conditions of Iconique Tours, terms and conditions of the other parties (Hotels, Tour Guide, Safari Jeeps, Visiting sites) will also apply.
- Hotel booking will be confirmed only after receiving the advance payment from the guest.
2. Payment Policy
- An advance payment from the tour cost is required to confirm the booking.
- The balance payment must be settled before arrival or upon arrival (First day).
- Any bank charges, transfer fees, or currency conversion charges shall be borne by the guest.
- Failure to make payments by the due dates may result in cancellation of the tour.
- Guest should deposit the money only to the payment method given by the company.
- Advance payment is not refundable within 21 days before the arrival date.
- All payments needs to be settled in United State dollars (USD)
3. Rates and Pricing
- All rates are quoted in USD unless otherwise specified.
- Rates are based on current government taxes, entrance fees, and supplier rates.
4. Hotel Accommodation
- Hotel accommodations are subject to availability at the time of tour confirmation.
- In the event a confirmed hotel becomes unavailable, a similar standard hotel will be provided.
- Hotel check-in and check-out times are governed by individual hotel policies.
- Early check-in and late check-out are subject to availability and may incur additional charges.
5. Transportation
- Transportation services will be provided according to the confirmed itinerary.
- Guests are responsible for ensuring they are present at agreed pickup times.
- Delays caused by guests may result in itinerary modifications without compensation.
- The company reserves the right to substitute vehicles with similar categories when necessary.
6. Tour Itinerary
- The itinerary may be modified due to weather conditions, road closures, government regulations, safety concerns, strikes, natural disasters, or other circumstances beyond the company’s control.
- Every effort will be made to provide suitable alternatives.
7. Cancellation Policy
- Cancellation charges will apply as follows:
- More than 21 days before arrival: Deposit forfeited or as agreed.
- 21–8 days before arrival: 50% of total tour cost.
- Less than 7 days before arrival or no-show: 100% of total tour cost.
- Hotel-specific cancellation policies may supersede the above where applicable.
8. Refund Policy
- No refunds will be provided for unused services, missed meals, sightseeing tours, transfers, accommodations, or early departures.
- Refunds, where applicable, will be processed after receiving confirmations from suppliers.
9. Travel Documents
- Guests are solely responsible for obtaining valid passports, visas, travel permits, vaccination certificates,Insurance and any other required travel documentation.
- The company shall not be responsible for losses arising from incomplete or invalid travel documents.
10. Travel Insurance
- Comprehensive travel insurance covering medical emergencies, accidents, trip cancellations, baggage loss, and personal liability is strongly recommended.
- The company shall not be liable for costs incurred due to lack of insurance coverage.
11. Health and Fitness
- Guests are responsible for ensuring they are medically fit to participate in the tour.
- Any medical conditions, dietary requirements, or disabilities must be disclosed prior to booking.
12. Liability
- The company acts only as an intermediary between guests and service providers such as hotels, transport operators and attraction operators.
- The company shall not be liable for injury, illness, loss, damage, delays, accidents, theft, or additional expenses caused by third-party service providers or circumstances beyond its control.
13. Force Majeure
- The company shall not be responsible for cancellations, delays, alterations, or losses caused by events beyond its reasonable control, including but not limited to natural disasters, floods, pandemics, political unrest, civil disturbances, strikes, acts of terrorism, or government restrictions.
14. Complaints
- Any complaints must be reported immediately during the tour to allow corrective action.
- Complaints submitted after completion of the tour may be difficult to investigate and resolve.
15. Photography and Marketing
- Photographs or videos taken during tours may be used for promotional purposes unless guests expressly object in writing before the commencement of the tour.
